Shipping Packaging Standards

Purpose[cite: 1]

AXM sellers must package and ship all parts so they arrive undamaged, legally, and safely.[cite: 1] Failure to meet these standards may result in listing removal, payment hold, buyer refund, dispute approval, or seller suspension.[cite: 1]

1. General Packaging Standards (All Shipments)[cite: 1]

Requirement[cite: 1] Standard[cite: 1]
Clean & Drained[cite: 1] No fluids, fuels, oils, coolants, refrigerants, or hazardous chemicals may remain inside the part at time of shipment.[cite: 1]
Leak-Proof[cite: 1] No leaking, seeping, or residual fluid odor.[cite: 1] If a part has contained fluid, it must be drained, capped, and wiped clean.[cite: 1]
Secure Containment[cite: 1] Part must be immobilized inside the package.[cite: 1] No movement, rattling, or contact with box walls.[cite: 1]
Impact Protection[cite: 1] Minimum 2 inches of cushioning (bubble wrap, foam, cardboard) between the part and outer container on all sides.[cite: 1]
Weather Protection[cite: 1] The outer container must resist rain and moisture.[cite: 1] Cardboard must be double-walled or reinforced for heavy items.[cite: 1]
Labeling[cite: 1] Clear FRAGILE, HEAVY, THIS SIDE UP, or HAZMAT labels where applicable.[cite: 1] AXM tracking label must be fully visible.[cite: 1]
Photo Documentation[cite: 1] Seller must upload pre-shipment photos showing: (a) the part condition, (b) the packaging method, and (c) the sealed container with label.[cite: 1]

2. Carrier Selection Rules[cite: 1]

Category[cite: 1] Carrier / Service[cite: 1] Why[cite: 1]
Engines, Transmissions, Transfer Cases, Differentials, Axle Assemblies[cite: 1] LTL Freight Required (Freightquote, AXM-approved LTL carrier, or another AXM-integrated freight partner)[cite: 1] Too heavy and dense for parcel carriers.[cite: 1] Must be palletized or crated.[cite: 1]
Fuel Tanks, Fuel Pumps, Fuel Rails, Injectors[cite: 1] Ground / LTL Only (No air freight)[cite: 1] Residual fuel vapor risk.[cite: 1] USPS, FedEx, and UPS Ground only.[cite: 1]
Lead-Acid Batteries[cite: 1] Ground Only + carrier-approved battery packaging/labeling[cite: 1] Air freight is prohibited or restricted.[cite: 1] Seller must follow the exact carrier-required label for the battery type.[cite: 1] NON-SPILLABLE labels may only be used when the battery qualifies.[cite: 1]

Shipping engines or transmissions without a pallet or crate[cite: 1] Damage and leakage risk.[cite: 1] Parcel carriers will refuse.[cite: 1]
Shipping parts with fluids inside[cite: 1] Hazmat violation.[cite: 1] DOT and carrier penalty.[cite: 1]
Shipping fuel parts with fuel odor or residue[cite: 1] Fire hazard.[cite: 1] Carrier rejection.[cite: 1]
Shipping batteries without terminal protection or required carrier label[cite: 1] Short circuit, fire risk, and carrier rejection.[cite: 1]
Shipping glass in soft mailers or padded envelopes[cite: 1] High breakage risk.[cite: 1]
Shipping tires without cardboard or stretch wrap[cite: 1] Damage to sidewall and tread.[cite: 1]
Using single-wall cardboard for items over 50 lbs[cite: 1] Box failure in transit.[cite: 1]
Reusing damaged, wet, or previously compromised boxes[cite: 1] Structural failure.[cite: 1]
Shipping recalled, counterfeit, or prohibited parts (per Prohibited Parts List)[cite: 1] Legal and platform violation.[cite: 1]
Shipping without AXM-required pre-shipment photos[cite: 1] Dispute protection.[cite: 1] No photos = no payout protection.[cite: 1]
Loose-fill packing peanuts, newspaper-only packaging, thin plastic bags, soft mailers, or single-wall boxes for heavy, sharp, fragile, glass, lighting, electronic, or high-value parts[cite: 1] Inadequate protection.[cite: 1] Carrier and AXM may deny damage claims.[cite: 1]

7. Packaging Approval Lock[cite: 1]

AXM may prevent label generation, carrier pickup, or payout release until the seller completes all required packaging steps for the category.[cite: 1]

Required Before Shipment[cite: 1] Standard[cite: 1]
Shipping Method[cite: 1] Seller selects shipping method: parcel, LTL, or local pickup.[cite: 1]
Weight & Dimensions[cite: 1] Seller enters accurate package weight and dimensions.[cite: 1]
Packaging Photos[cite: 1] Seller uploads required packaging photos.[cite: 1]
Seller Attestation[cite: 1] Seller confirms the part is drained, dry, capped, and legal to ship.[cite: 1]
High-Risk Verification[cite: 1] AXM verifies high-risk categories before release when required.[cite: 1]

8. Documentation & Photo Requirements[cite: 1]

Before any shipment is released to the carrier, the seller must upload the following to the AXM order page:[cite: 1]

Photo / Document[cite: 1] Requirement[cite: 1]
Part Condition Photo[cite: 1] Clear photo of the part from all required angles per the applicable AXM category-specific packaging rule and the AXM Allowed Parts / Prohibited Parts policy.[cite: 1]

Sealed Package Photo[cite: 1] Photo of the sealed outer container with AXM label visible.[cite: 1]
Weight Photo[cite: 1] Photo of the package on a scale showing weight (for disputed shipments).[cite: 1]
Hazmat / Required Label Photo[cite: 1] If shipping batteries or regulated items, photo of the carrier-required label applied.[cite: 1]
Pallet / Crate Photo[cite: 1] For LTL shipments, photo of the part secured to the pallet or inside the crate.[cite: 1]

No photos = no AXM seller protection.[cite: 1] If a buyer disputes damage and the seller cannot provide pre-shipment packaging photos, AXM may approve the buyer dispute and hold or reverse the seller payout.[cite: 1]

9. Carrier Liability & Insurance[cite: 1]

Carrier Type[cite: 1] Liability[cite: 1] AXM Recommendation[cite: 1]
Parcel (UPS, FedEx, USPS)[cite: 1] Carrier liability may be limited unless declared value or additional coverage is purchased.[cite: 1] Seller must purchase declared value insurance for items over $100.[cite: 1]
LTL Freight[cite: 1] Carrier liability varies by carrier.[cite: 1] It may be limited by weight, class, commodity, or carrier tariff unless additional coverage is purchased.[cite: 1] Seller must purchase freight insurance for engines, transmissions, and high-value parts.[cite: 1]
AXM-Integrated Shipping[cite: 1] Follows carrier terms above.[cite: 1] AXM will display available insurance or declared value options at checkout when supported by the carrier.[cite: 1]

Dispute Rule: If a part arrives damaged and the seller did not purchase insurance, AXM may still hold the seller liable if packaging standards were not met.[cite: 1] Insurance does not override bad packaging.[cite: 1]

If a seller declines available insurance or declared value coverage, the seller accepts the risk of carrier loss or damage beyond the carrier’s standard liability unless AXM determines the buyer or carrier caused the issue.[cite: 1]

10. Buyer Receipt & Inspection Rules[cite: 1]

Buyers must follow these steps to maintain dispute rights:[cite: 1]

Step[cite: 1] Timeline[cite: 1] Requirement[cite: 1]
Inspect on Delivery[cite: 1] At time of delivery[cite: 1] The buyer must inspect the package for external damage before signing.[cite: 1] Note visible damage on the carrier receipt before signing.[cite: 1]
Photo on Arrival[cite: 1] As soon as reasonably possible[cite: 1] The buyer should photograph the shipment as soon as reasonably possible after delivery, preferably within two hours and no later than 24 hours.[cite: 1] Photos should show the sealed package, opened package, and part condition.[cite: 1]
Report Damage[cite: 1] Within 48 hours of delivery[cite: 1] The buyer must open an AXM dispute with photos.[cite: 1]
Report Missing Items[cite: 1] Within 48 hours of delivery[cite: 1] The buyer must report if the part does not match the listing or is incomplete.[cite: 1]

Buyer Failure: If the buyer does not photograph the arrival condition as soon as reasonably possible, does not report damage within 48 hours, or does not keep required packaging, AXM may deny or limit the dispute.[cite: 1]

The buyer must keep the original box, pallet, crate, foam, wrap, labels, and packing material until AXM closes the dispute.[cite: 1] Failure to keep packaging may limit or deny the buyer’s damage claim.[cite: 1]

11. Return Shipping Rules[cite: 1]

Requirement[cite: 1] Standard[cite: 1]
Return Packaging[cite: 1] Buyer must return the item using the original packaging when possible or packaging equal to or better than the original.[cite: 1]
No Altered Parts[cite: 1] Buyer may not install, paint, cut, modify, disassemble, or damage the part before opening a dispute unless AXM approves review.[cite: 1]
Return Photos[cite: 1] The buyer must upload photos of the part and return packaging before shipping back.[cite: 1]
Return Damage[cite: 1] If a buyer returns a part with poor packaging and the item is damaged in return transit, AXM may reduce or deny the refund.[cite: 1]
Carrier Tracking[cite: 1] All returns must use trackable shipping.[cite: 1] No untracked returns are accepted.[cite: 1]
Core / Heavy Returns[cite: 1] Engines, transmissions, differentials, axles, and heavy items must be returned by LTL or AXM-approved freight method.[cite: 1]

12. Local Pickup Packaging and Handoff Rules[cite: 1]

Requirement[cite: 1] Standard[cite: 1]
Pickup Confirmation[cite: 1] Buyer and seller must confirm pickup through AXM using the order confirmation process.[cite: 1]
Condition Photos[cite: 1] Seller must upload photos before pickup.[cite: 1] Buyer should inspect the item before accepting.[cite: 1]
No Carrier Claim[cite: 1] Local pickup items are not eligible for carrier damage claims because no carrier was used.[cite: 1]
Buyer Acceptance[cite: 1] Once buyer accepts the item at pickup, damage disputes may be limited unless the issue was hidden or misrepresented in the listing.[cite: 1]
Loading Responsibility[cite: 1] Seller must disclose whether loading assistance, forklift, pallet jack, or equipment is available.[cite: 1]
Large Items[cite: 1] Engines, transmissions, hoods, doors, bumpers, tires, and glass should be secured for safe loading.[cite: 1]

13. Domestic Shipping & Delivery Restrictions[cite: 1]

AXM shipping is domestic U.S.[cite: 1] only at launch unless AXM approves otherwise.[cite: 1] International shipping, customs documentation, export-controlled parts, cross-border freight, and international hazmat shipments are not supported at launch.[cite: 1]

LTL freight, engines, transmissions, body panels, tires/wheel sets, batteries, fuel parts, and oversized items cannot be shipped to PO Boxes, APO/FPO addresses, package lockers, or addresses that cannot accept freight delivery.[cite: 1]

14. Dimensional Weight & Carrier Adjustment Fees[cite: 1]

Seller is responsible for all carrier charge corrections, including incorrect weight, incorrect dimensions, oversize fees, address correction fees, residential delivery fees, liftgate fees, re-delivery fees, storage fees, and carrier rejection fees caused by inaccurate listing, packaging, or shipment information.[cite: 1]

15. Seller Shipment Deadlines[cite: 1]

Shipment Type[cite: 1] Required Timeline[cite: 1]
Parcel Items[cite: 1] Seller must ship within two business days unless the listing states otherwise or AXM approves a different timeline.[cite: 1]
LTL Freight[cite: 1] Seller must be ready for carrier pickup within three business days unless the listing states otherwise or AXM approves a different timeline.[cite: 1]
Local Pickup[cite: 1] Seller must make the item available within the confirmed pickup window.[cite: 1]
Missed Pickup[cite: 1] Seller may be responsible for carrier pickup, storage, cancellation, re-delivery, or rescheduling fees if the item is not ready when scheduled.[cite: 1]

16. Address Change / Reroute Rules[cite: 1]

After a shipping label, BOL, or carrier pickup has been created, delivery address changes are not guaranteed and may require AXM approval.[cite: 1] Sellers and buyers are responsible for any carrier fees caused by incorrect addresses, changed addresses, re-routes, re-delivery, storage, or failed delivery attempts.[cite: 1]

17. AXM Damage Dispute Decision Tree[cite: 1]

Finding[cite: 1] AXM Decision[cite: 1]
Seller failed to upload packaging photos[cite: 1] Buyer dispute likely approved; seller payout may be held or reversed.[cite: 1]
Part was shipped with fluids, leaks, fuel odor, or no caps[cite: 1] Seller fault; buyer dispute approved.[cite: 1]
Packaging did not meet category standard[cite: 1] Seller fault; buyer dispute approved.[cite: 1]
Packaging met AXM standards but carrier damaged shipment[cite: 1] Carrier claim route; AXM may require seller/buyer cooperation.[cite: 1]
Buyer failed to photograph arrival condition or report within window[cite: 1] Dispute may be denied or limited.[cite: 1]
Buyer discarded packaging before review[cite: 1] Dispute may be denied or limited.[cite: 1]
Item was misdescribed, wrong part, or missing components[cite: 1] Seller fault unless listing disclosed the issue clearly.[cite: 1]
Buyer installed, modified, painted, cut, or damaged the part before dispute[cite: 1] Dispute may be denied or reduced.[cite: 1]

18. Record Retention[cite: 1]

Sellers must retain shipment photos, receipts, tracking records, BOLs, signed delivery receipts, insurance documents, and carrier claim records for at least 180 days after delivery or until any dispute is fully closed, whichever is later.[cite: 1]

19. Carrier Rule Override[cite: 1]

Carrier rules, hazardous-material requirements, and applicable law always control over AXM guidance.[cite: 1] If a carrier refuses, restricts, or requires additional packaging, labeling, documentation, or service level for a shipment, the seller must comply before shipment.[cite: 1]

20. AXM Shipping Enforcement Rights[cite: 1]

AXM may:[cite: 1]

  • Remove listings that fail to meet packaging or shipping standards.[cite: 1]
  • Hold seller payouts until pre-shipment photos are uploaded and verified.[cite: 1]
  • Approve buyer disputes and issue refunds if packaging standards were violated.[cite: 1]
  • Charge back shipping costs to the seller if the carrier rejects a package due to improper packaging or hazmat violation.[cite: 1]
  • Suspend sellers who repeatedly ship prohibited, hazardous, or improperly packaged items.[cite: 1]
  • Require sellers to complete AXM packaging certification before listing in high-risk categories such as engines, transmissions, glass, fuel parts, batteries, or heavy LTL freight.[cite: 1]
